This Privacy Policy applies to the Calf Tracker Pro mobile application, web dashboard, and related services. Your herd data is stored on our hosted infrastructure and access is scoped to authorized farm or clinic relationships. We do not sell personal information, use advertising networks, or track users across third-party apps or websites for advertising. We use the service providers described below to operate the Service.
Information We Collect
Calf Tracker Pro collects and stores the following information in our secure cloud database:
- Account information: Username, email address, and authentication credentials (passwords are securely hashed and never stored in plain text)
- Herd records: Cows, calves, and bulls including tag numbers, names, breeds, birth dates, weights, and status
- Operational logs: Calving records, breeding and AI logs, pregnancy check results, and treatment records (including product names, dosages, and withdrawal periods)
- Notes and observations: Timestamped notes you add to animal profiles
- Photos: Images you attach to animal profiles, stored securely in our cloud storage/database associated with your farm account
- Pasture assignments: Which animals are assigned to which pastures, along with pasture names and capacity settings
- Financial records: Cost entries and categories you log for your operation
- Weather data: When the weather widget loads, daily weather conditions (temperature, wind speed, and general conditions) are automatically saved based on your approximate location to support future analysis alongside animal events
- Inventory records: Ranch supply names, quantities, transaction history, and low-stock thresholds
If you sign in with Apple Sign-In, we receive your name and email address (or Apple's private relay email) from Apple. We do not receive your Apple ID password.
How We Use Your Information
Your data is used solely to provide and improve the app's functionality:
- Displaying your herd records, profiles, and history
- Calculating due dates, withdrawal periods, and analytics
- Generating reports, season summaries, and year-over-year comparisons
- Enabling search, filtering, and organization of your records
- Sending local push notifications for treatment withdrawal reminders and upcoming calving due dates (notifications are processed entirely on your device)
- Providing multi-user access so your team can view and manage shared farm data
- Correlating weather history with animal events for management insights
How and Why We Process Your Data
We process your data on the following grounds:
- To provide the Service: Your data is necessary to operate the app — storing herd records, syncing across devices, and enabling multi-user access.
- To generate insights: Records are processed locally and server-side to produce analytics, due-date calculations, season summaries, and withdrawal period tracking.
- To maintain security: We process authentication credentials and session data to verify your identity and protect your account.
- To improve the Service: Aggregate, non-identifiable usage patterns may be reviewed to inform product improvements. No individual profiling is performed.
We do not process your data for advertising, behavioral profiling, or any purpose beyond operating and improving the Service.
Data Storage and Cloud Sync
Your herd data is stored in a secure cloud database (PostgreSQL) to enable access, multi-user collaboration, and data recovery. Key details:
- All data is organized by farm and isolated from other farms' data
- Selected records can be queued locally when offline and synced when connectivity returns. Offline availability varies by workflow; some screens, uploads, and features require an internet connection.
- Photos are stored securely in our cloud storage/database, associated with your farm account
- Your farm administrator can grant access to additional users for shared farm management
Authentication is handled through Apple Sign-In or username/password login. We use session tokens, cookies, and local storage as needed to manage login state and app preferences. Farm-user allowances are not device limits.
Service Providers
We use service providers to operate specific parts of the Service. Depending on the features you use, these providers may process the information needed to perform their services:
- Hosting and PostgreSQL database providers: account, herd, clinic, and application data storage and processing
- Stripe: web checkout, subscription billing, and customer billing portal services
- RevenueCat and Apple App Store: in-app subscription purchase, restoration, entitlement, and transaction identifiers
- Resend: transactional, access-request, and support email delivery and related recipient/message metadata
- OpenAI or an OpenAI-compatible provider: content you choose to submit to optional AI-assisted import, chat, image, audio, or transcription features
These services operate under their own applicable terms and privacy policies. Do not submit information to optional AI features unless you are authorized to do so.
Analytics and Local Storage
Public support, privacy, terms, and account-deletion pages use Google Analytics to measure page use. Authenticated producer, veterinarian, dashboard, and admin surfaces do not load that public-page analytics tag. In-product farm analytics are generated from farm records for the farm's use and are separate from public-page analytics. We also use cookies and local storage for sessions, preferences, and selective offline cache. Cached supported producer records and drafts can remain on the device until synced or cleared.
Local Notifications
Calf Tracker Pro can send local push notifications to remind you of important events:
- Treatment withdrawal period end dates
- Upcoming calving due dates
These notifications are generated and scheduled entirely on your device. No notification data is sent to external servers. Notifications are only sent if you grant permission through your device settings. You can enable or disable notifications at any time from the app or your device settings.
Location Data
The weather widget uses your device's approximate location to fetch local weather conditions. This location data is used only to retrieve weather information and is not stored, tracked, or shared beyond that purpose. The resulting weather snapshot (temperature, wind, conditions) is saved to your farm's records for future reference. We store weather conditions only and do not store precise location coordinates.
Sharing You Control
Multi-user access: If your farm administrator grants access to other users, those users can view and edit the shared farm data. This is under the farm administrator's control.
Data export: The app offers export features that allow you to share your data with other services (such as Performance Beef via CSV). These exports are initiated by you and are under your control.
Data Security
We take reasonable measures to protect your information:
- Passwords are securely hashed and salted before storage and are never stored in plain text
- All data in transit is encrypted using HTTPS
- Farm data is isolated by farm ID, preventing cross-farm data access
- Session tokens help manage authenticated sessions
- Apple Sign-In uses industry-standard OAuth authentication
- Administrative functions (farm creation, user management) are protected behind admin authentication
Your Rights
You have control over your data:
- Use exports available to your plan
- View and edit records available through the app or web dashboard
- Request deletion directly from the app. A verified affected user's credentials are required to restore a pending deletion. Deletion has a 60-day hold period; shared farm records may remain for other farm users, financial or legal records may be retained as required, and deletion from backups is not necessarily immediate.
- Revoke Apple Sign-In access through your Apple ID settings at any time
- Contact us with questions about your data
Because your data is stored in the cloud, uninstalling the app does not delete your records. To request account deletion, use the "Delete Account" option in the app or web dashboard. Contact support for help regaining access; support will not initiate or reverse deletion without verifying the affected user's consent.
Data Retention
Your herd data is retained in our cloud database for as long as your account is active. Historical records (calving seasons, treatment history, weight records, analytics) are preserved to support year-over-year comparisons and long-term herd management insights.
If you request account deletion, your account enters a 60-day hold period. During this time, your data is preserved but your account is deactivated. Restoration requires the affected user's verified credentials. After the hold, applicable account data is deleted; shared farm records may remain for other farm users, financial or legal records may be retained as required, and backups may be removed on their normal lifecycle rather than immediately.
Children's Privacy
Calf Tracker Pro is not directed at children under 13. We do not knowingly collect information from children under 13.
Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy on this page and updating the "Last updated" date.
